The mission of the Green Climate Fund is to assist developing countries to respond to climate change while bringing prosperity to their peoples.

Established in 2010, the GCF invests in transformational climate projects in the developing world. The Fund makes an ambitious contribution to global climate action and channels significant financial resources into developing countries to help build low-emission and climate-resilient societies.  It is country-driven and undertakes actions which reflect the circumstances of each country concerned and its national aspirations. The GCF is a key enabler of the 2015 Paris Agreement on Climate Change.

Since its establishment, the GCF has mobilized 10.3 billion USD, accredited 75 entities to channel its resources and approved 93 funding proposals for a total investment from the GCF of over $4.6 billion. In addition, the decision  has just been made to launch the first replenishment of the Fund.

Position description

The Team Assistant will be responsible for providing administrative support to the Division of Mitigation and Adaptation.

 

Duties and responsibilities

  • Provide general administrative support to the Division/Office;
  • Draft routine correspondence on behalf of the Director; Format, proof-read, and edit texts for adherence to established standards, grammar, and style in official documents, reports, and invitation letters;
  • Provide support in updating and maintaining distribution lists; monitors, prepares and distributes various materials and reports;
  • Organise and maintain internal records files and information material;
  • Support Director(s) in tracking and coordinating implementation of work programme;
  • Coordinate the internal flow of communications within the team, ensuring timely dissemination of information to all and responding to routine requests for information;
  • Receive visitors and maintain the calendar/schedule for arranging meetings and appointments for the Director/Head of Division/Office;
  • Assist in preparation and logistical planning for various events (e.g. conferences, workshops, Board meetings, other formal and informal meetings);
  • Assist in preparation of board documents and ensure that the Division meets key publication deadlines;
  • Provide support for procurement and finance-related matters;
  • Manage Division’s need for consultancy-related matters and financial claims;
  • Assist the Division in liaising with Travel team and work with Director(s) on making logistical arrangements for missions; and
  • Carry out any other administrative and support duties as requested.

 

Expected experience and qualifications*

  • Bachelor’s degree, with at least three (3) years of relevant experience;
  • Experience in secretarial, clerical, administrative, and/or operational role desirable;
  • Ability to deal with large volumes of work under time pressure with a high level of accuracy;
  • Ability to exercise tact and discretion in dealing with customers;
  • Ability to multi-task, organize his/her work, set priorities, meet critical deadlines, and follow up on assignments with minimum direction;
  • Strong teamwork and interpersonal skills, and highly developed cultural sensitivity in communicating with all levels of staff and external clients, both orally and in writing;
  • Proficient in computer software (Microsoft Word, PowerPoint, Excel, Adobe Reader); and
  • Fluency in English is essential; knowledge of local language and/or another United Nations language is an advantage.
